Position Overview:

The HR / Payroll Coordinator will report to the Director, HR and will also have significant accountability to the Director, Finance with a 50% / 50% split of time going to both departments. The incumbent will be an important member of both teams and will help ensure the payroll process is compliant with all legislative requirements. They will also ensure that employees receive a high-level of service with all payroll and benefits inquiries. The incumbent will support the day to day operations of the HR team.

Job responsibilities:

  • Responsible for full cycle payroll processing for hourly and salaried employees in various provinces, in compliance with federal and provincial legislations
  • Responsible for providing support to the HR team, including: posting positions, conducting references, processing criminal record checks, scheduling candidate interviews, coordinating the corporate performance management system, coordinating new-hire onboarding, etc.
  • Responds to employee inquiries in a timely manner and trouble-shoots payroll and benefits questions/concerns
  • Coordinates and serves as contact point for corporate benefits program for all employees
  • Responsible for maintaining all employee files and disciplinary records.
  • Responsible for managing and tracking employee vacations and absences
  • Audits time and attendance system for integrity
  • Prepares month-end and year-end payroll reporting
  • Processes required documents through payroll and insurance providers to ensure accurate record keeping and proper deductions
  • Processes monthly billings from insurance providers
  • Reviews billings for accuracy, codes and advances for payment
  • Completes reports for HR/management as requested
  • Serves as primary contact in the benefits audit process
  • Other duties as required.

Job Requirements:

  • University degree or College diploma in Human Resources or a related field.
  • Certified Payroll Manager designation is an asset but not required
  • Certification in HR is preferred
  • 3+ years of experience supporting both HR and Payroll functions
  • Strong customer-service orientation
  • Possesses working knowledge of payroll land employment legislation, including pay equity
  • Superb organizational skills are required
  • Highly flexible individual; able to manage a varied workload effectively in a quickly evolving environment
  • Strong interpersonal skills
  • Strong communication skills
  • Advanced user of MS Office Programs: Word, Excel, Powerpoint
  • Strong relationship development and management skills with employees and management
  • Highly motivated
  • Bilingualism (French and English) is an asset, not required
